Employee Leave Policy FAQ

  1. When can I use Extended Sick Leave instead of PTO?
    • The grace period for using Extended Sick Leave for routine illnesses ended with the final pay period in September
    • PTO now applies to all absences including illness, childcare, medical appointments, personal time, and holidays
    • Non-exempt employees must document partial day absences; exempt employees document full-day absences
  2. What qualifies for Extended Sick Leave use?
    • Extended Sick Leave is reserved for long-term or catastrophic medical absences exceeding 7 calendar days
    • Employees must contact HR directly to request approval
    • FMLA typically applies in these situations, as determined by HR
    • Payroll will automatically apply PTO until HR approves Extended Sick Leave use
  3. Is there a waiting period before Extended Sick Leave begins?
    • Yes, even after approval, there's a 7-calendar-day waiting period where PTO is used first
  4. How do I accumulate Extended Sick Leave?
    • It's not accrued each pay period like PTO
    • Unused PTO (exceeding policy limits) converts to Extended Sick Leave with the first full pay period each January
  5. Does Extended Sick Leave count toward retirement benefits?
    • Yes, your Extended Sick Leave balance is considered "unused accumulated sick leave" at retirement
    • This balance provides retirement credit when calculating monthly TCRS benefits
  6. Is Extended Sick Leave paid out upon termination?
    • No, unlike PTO, Extended Sick Leave is not paid out when employment ends

*Extended Sick Leave for "immediate family members" follows the FMLA definition, which includes spouse, parent, and child.
